How to Choose the Right Business Laptop in 2026
Specifications matter less than you think. Here is what actually determines whether a laptop serves your team well.
We are asked this question more than any other: which laptop should we buy for our staff? The honest answer is that the specification sheet is the least interesting part of the decision.
Start with how it will be used
A finance officer working in large spreadsheets all day needs memory and a good screen. A field engineer needs durability and battery life. A designer needs colour accuracy and graphics performance. Buying one model for everyone means overspending on some staff and underserving others.
Memory matters more than processor
For typical business use, the difference between an i5 and an i7 is barely noticeable. The difference between 8GB and 16GB of RAM is obvious within an hour. If budget forces a compromise, take the lower processor and the higher memory every time.
We now recommend 16GB as the baseline for any machine expected to last four years. Browser tabs, Teams and Office together consume far more memory than they did five years ago.
Insist on an SSD
This should go without saying in 2026, but budget machines with mechanical drives still appear. An NVMe SSD is the single biggest contributor to a computer feeling fast. Never buy a business machine without one.
Consider the whole cost, not the sticker price
A consumer laptop at KSh 65,000 with a one-year warranty and no on-site support looks cheaper than a business model at KSh 120,000 with three years of next-business-day cover. Over a four-year life, factoring in downtime and repair, it usually is not.
Business ranges also offer consistent components across a production run, which matters enormously when you are imaging fifty machines.
Do not overlook the keyboard and screen
Your staff will spend thousands of hours in front of this device. A cramped keyboard or a dim, reflective screen causes real fatigue. If possible, have people try a unit before committing to a bulk order.
