Cloud or On-Premises? A Practical Framework for Deciding

"Should we move to the cloud?" is the wrong question. The useful question is: which of our workloads belong in the cloud, and which are better off staying where they are?

Move email first, and probably completely

Running your own mail server in 2026 is rarely defensible. Hosted platforms deliver better uptime, better spam filtering and better security than almost any organisation can achieve internally, at a lower total cost. This is the clearest case in the whole discussion.

Think carefully about large file shares

Cloud file storage is excellent for documents. It is less comfortable for teams working with very large files over a connection that is not reliably fast. A design studio editing multi-gigabyte files will have a better experience with a local server and cloud backup than with cloud-first storage.

Bandwidth is the deciding factor. Measure your actual sustained throughput before assuming.

Line-of-business applications: it depends on the vendor

If your accounting or ERP vendor offers a mature hosted version, take it. If they offer a hastily assembled cloud option that lags their on-premises product, do not — you will inherit their inexperience.

Watch the running cost

Cloud shifts capital expenditure to operating expenditure, which suits many businesses. But per-user monthly costs accumulate, and a workload with predictable, steady demand can be cheaper to run on hardware you own.

Model the five-year cost of both options rather than comparing the initial outlay.

The hybrid answer is usually right

Most of our clients end up with email and collaboration in the cloud, backup replicating off-site, and one or two specific workloads staying local for performance reasons. That is not a compromise or a failure to commit — it is simply the correct architecture for their situation.
